1.2 Scope, Purposes, and Legal Bases

We process data on the legal bases of Art. 6(1) GDPR: consent (a), performance of a contract or pre-contractual steps (b), legal obligation (c), and legitimate interests (f). Details are provided in the respective sections of this Policy.

1.3 Processing Outside the EEA

Where data is transferred to service providers or other third parties outside the EEA, transfers are based on adequacy decisions (Art. 45 GDPR), including EU‑US Data Privacy Framework certifications where applicable, or on Standard Contractual Clauses (Art. 46 GDPR) with additional safeguards (e.g., encryption, provider notice obligations regarding law-enforcement access requests).

1.4 Storage Period

We delete data as soon as it is no longer necessary for its purpose and no statutory retention obligations apply. If deletion is not possible, processing is restricted (data is blocked and not processed for other purposes), e.g., for commercial or tax retention.

1.5 Rights of Data Subjects

You have the rights to access, rectification, erasure, restriction of processing, objection, data portability, and to withdraw consent at any time. You also have the right to lodge a complaint with a supervisory authority.

1.6 Obligation to Provide Data

Customers, prospects, or third parties need only provide personal data necessary for initiating, performing, and terminating a business relationship or other relationship, or where required by law. Without such data, we may not be able to conclude or perform a contract or provide services.

1.7 No Automated Individual Decision-Making

We do not use fully automated decision-making as per Art. 22 GDPR unless explicitly stated for specific cases.

1.8 Contacting Us

When you contact us (e.g., by email or phone), we process the data you provide (e.g., names, email addresses) to respond to your inquiry (Art. 6(1)(f) GDPR). We delete the data when storage is no longer necessary, or restrict processing where retention obligations apply.

1.9 Customer Surveys

We may conduct surveys to better understand our customers and their needs (Art. 6(1)(f) GDPR). Data is deleted after evaluation of the results.


2. Newsletter

We may inform existing customers about our offers by email or other means unless they have objected (Art. 6(1)(f) GDPR; Recital 47). You can object at any time at no additional cost (e.g., via the unsubscribe link or by email). Based on consent (Art. 6(1)(a) GDPR), we measure newsletter open and click rates to understand which content is relevant. 3. Processing on Our Website

3.1 Note for Visitors from Germany

Information may be stored in or accessed from the user’s device (§ 25 TDDDG). Storage/access is either strictly necessary for the requested service (§ 25(2) No. 2 TDDDG) or based on consent (§ 25(1) TDDDG). Subsequent processing follows the GDPR as described below.

3.2 Informational Use

When you visit our website without otherwise providing information, we collect server log data to ensure stability and security (IP address, date/time, time zone, requested page, status code, data volume, referrer, browser, OS, language). Logs are deleted after a maximum of 14 days. Legal basis: Art. 6(1)(f) GDPR.

3.3 Web Hosting and Provision of the Website

Our website is hosted by HostGator (Newfold Digital, USA). Legal basis: Art. 6(1)(f) GDPR. Transfers to third countries are based on Standard Contractual Clauses. Provider policy: Newfold Privacy.

3.4 Contact Form

Data entered in the contact form is processed to respond to inquiries (Art. 6(1)(f) GDPR) and deleted when no longer necessary.

3.5 Job Postings

Processing for recruitment is based on Art. 88 GDPR in conjunction with § 26 BDSG and, where applicable, consent (Art. 6(1)(a) GDPR). Deletion: typically six months after rejection; one year where consent for further processes is given.

3.6 Booking Appointments

We process data to offer a user-friendly way to schedule appointments (Art. 6(1)(f) GDPR). If third‑party tools are used, see “Third-Party Providers”.

3.7 Strictly Necessary Cookies

Cookies required for operation/functions (e.g., language settings, remembering search queries). Legal basis: Art. 6(1)(f) GDPR.

3.8 Third-Party Providers

  • HubSpot: Lead generation, marketing automation, and analytics (EU). Legal basis: Art. 6(1)(f) GDPR. Privacy Policy.
  • Google Analytics: Analytics (USA). Legal basis: Art. 6(1)(a) GDPR (consent). Privacy Policy.
  • YouTube Videos: Embedded videos (Ireland/USA). Legal basis: Art. 6(1)(a) GDPR (consent). Privacy Policy.

4. Processing on Social Media Platforms

We operate profiles on Facebook, Instagram, YouTube, X (Twitter), and LinkedIn to present our organization and services. Platform operators regularly process user data for advertising (e.g., interest profiles, cookies). Operators or their servers may be located outside the EU. If you contact us via these profiles, we process your data to respond (Art. 6(1)(f) GDPR).
